Private versus cloud AI for your business

Compare data handling, capability, costs and support before choosing an on-premises or cloud AI setup.

Begin with the information being processed

List the tasks you want AI to help with and classify their inputs. A public product description has different requirements from a client file or employee record. Choose a deployment based on those requirements rather than on a promise that one option is always safe.

For cloud services, check the specific product and contract: retention, access, permitted use, training settings, locations and processor terms can differ. Do not assume every consumer and business plan handles data identically.

What local deployment changes

A correctly configured local setup can keep model processing on infrastructure you control. That can help with confidentiality requirements, but it does not by itself eliminate data-protection obligations or security risks.

Review remote access, backups, logs, connected tools, telemetry and document permissions. A local model connected to an external tool may still send information outside the local system.

Compare total cost and capability

Local deployment may involve hardware, electricity, maintenance, model evaluation and staff support. An absence of a model subscription does not mean the system has no running cost.

Cloud services may offer capabilities and operational support that suit some tasks. Local models may be sufficient for others. Test representative work for accuracy, speed, usability and recovery before choosing.

Agree ownership and safe use

Name a person responsible for access, model updates, documentation and incidents. Give staff a short guide explaining which information may be used and which outputs require checking.

If personal information is involved, assess the applicable data-protection requirements for the actual use case. The ICO’s guidance explains relevant considerations and notes that parts of its guidance are under review. Seek qualified advice for decisions outside your team’s expertise.
